What info to confirm a Bali yacht charter booking

Four essentials up front — guest count, date, rough itinerary and dietary or medical needs — and most concierges can hold a vessel the same day.

Updated 2026 · Guide

In short

To confirm a Bali luxury yacht charter, companies need four essentials: your confirmed guest count, preferred date and departure window, a rough itinerary or occasion, and any dietary or medical needs. Passport details, deposit, guest list and add-ons follow once those are locked.

01

Guest count comes first

Guest count decides which yacht is even offered, because motor-yachts carry hard capacity limits set by their safety certification. A 24m day yacht might be certified for 12 guests cruising; a larger vessel 20 or more.

Say "around 10" and arrive with 15, and the crew cannot legally take the extra five — so give the real number, including children and infants. Pricing is per yacht, so it sizes the vessel, not the bill.

02

Dates and departure windows

Send your preferred date, one or two backups and a rough departure time. Demand runs heaviest from July to September and over the December–January holidays, when popular yachts book out weeks ahead.

A sunset charter leaves mid-to-late afternoon; an island run toward Nusa Penida or Nusa Lembongan usually starts in the morning for calm water and daylight.

03

A rough itinerary is enough

No minute-by-minute plan needed — a sentence about what you want is enough to secure the hold.

  • The occasion: proposal, birthday, anniversary, corporate event or a day out
  • The mood: a relaxed sunset cruise or a swim-and-snorkel day at Crystal Bay
  • Priority stops: Uluwatu cliffs, a Lembongan beach club, a manta site
  • Water activities: snorkelling, paddleboards, a seabob or jet ski — or none
04

Dietary and medical needs, early

Catering is prepped ashore or by the crew before you sail, so allergies and diets cannot be fixed at sea. Flag nuts, shellfish, gluten, vegetarian, vegan, halal, kosher and children's meals at booking.

Mention seasickness, mobility limits or pregnancy too — a calm-water route can replace an open-ocean run. None of this changes your price.

05

Bigger or special charters

  • Larger vessels and superyachts: a formal guest manifest; for a locally operated Benoa day charter, the operator handles formalities and you supply names and, where needed, passport data
  • Corporate and MICE: invoicing entity, headcount deadlines, AV and branding
  • Proposals and surprises: timing, photography and who is "in on it"
06

How the money side is confirmed

Pricing is per yacht per day: headcount sets the vessel, date and add-ons set the figure. As of 2026, Asia Global Yachting cites Bali day charters from around USD 2,500; Sailo shows Bali boats averaging roughly USD 1,230 per day.

The quote itemises base rate, fuel, crew, catering, toys, AV and concierge extras. A deposit converts a hold into a firm booking, with the balance due before you sail — terms vary by operator.

Booking confirmation questions

All questions
What do I need to send to book a yacht in Bali?

Guest count, preferred and backup dates with a departure window, the occasion or a rough itinerary, and any dietary or medical needs. With those four, most concierges can hold a vessel the same day.

Does a bigger group cost more?

Not on the same boat — charters are priced per yacht per day, not per head. Your true maximum headcount decides which vessel can legally take you.

When do I need passport details?

Before sailing, with the full guest list for the manifest and, where applicable, harbour formalities.

When should I book for peak season?

Early. Demand peaks July to September and over the December–January holidays, and a flexible backup date improves your odds of the exact yacht.
